Worker evidence readiness. Built in Australia

Know who can walk on site tomorrow.

ComplianceOS keeps every worker's required evidence in one place: what is on file, what has been verified, what is about to expire and what is missing. Open a worker, read the board, and have the answer before the client asks.

For labour hire firms supplying mining, civil and construction crews. Piloting with Labour Assist. The demo runs on sample data only.

The problem

The evidence exists. Finding it is the job.

Every labour hire firm holds tickets, licences, medicals and inductions for its people. The trouble starts when someone asks whether a crew can start on Monday.

Spread across five places

Email attachments, a shared drive, a phone camera roll, a spreadsheet and a folder at the site gate. The file you need is rarely in the place you look first.

Expiry on different clocks

A White Card never expires. A medical lasts a year. A site induction ends when the project does. Tracking the dates in someone's head works until that person is on leave.

Filed is not checked

A scan in a folder is not a verified ticket. Without a record of who looked at it, and when, you cannot tell the client what you have actually confirmed.

ComplianceOS puts each requirement, its evidence, its expiry and its verification on one screen per worker, so the 5am call gets an answer from the record instead of a scramble.

Product

Two screens do the daily work

Coordinators spend their day moving between the workers board and the evidence inbox. Everything else hangs off those two.

The workers board

Every worker on one list, with the two most urgent issues in a line. Sort by what needs attention, open a worker, and see every requirement with its status tag and the evidence behind it.

  • Readiness at a glance: Ready, Attention or No requirements, taken from the tags beneath it.
  • Worker detail lists each requirement, its expiry and every version of the evidence.
  • Requirements are set once for the whole organisation, with their own expiry and warning window.

Illustration with made-up people. “Ready” means every requirement has valid evidence on file. It is not a compliance ruling.

The evidence inbox

New files land here first. A coordinator links each one to a worker and a requirement, records the expiry from the document, then verifies it or rejects it with a reason.

  • Upload from the browser, or scan an evidence folder with the Windows desktop app.
  • Files are recognised by their exact bytes, so a renamed or re-sent copy is never filed twice.
  • Verification and rejection are recorded with who and when. Earlier versions are kept.

Status language

Six tags. No guesswork.

Like scaffold tags at the base of a tower: one tag per requirement, hung from the evidence on file. The same facts always hang the same tag, so two coordinators read the same board the same way.

Valid
Verified evidence on file, inside its expiry date, or no expiry required.
to 14 Mar 2028
Expiring
Verified, but the expiry falls inside the warning window you set for the requirement.
20 days left
Expired
The expiry date has passed. Expired whether or not it was ever verified.
on 03 Oct 2026
Awaiting verification
Evidence is recorded, but nobody has checked it yet.
uploaded today
Expiry missing
The requirement needs an expiry date and none is recorded on the evidence.
expiry —
Missing
No evidence recorded for this requirement. Nothing to hang.
no file

ComplianceOS never says a worker is “compliant”. It hangs the tag the evidence earns, and leaves the call to you.

How it works

From a folder of files to a readiness board

Most firms already hold the evidence. It is in email, on a shared drive, on a NAS, in a spreadsheet nobody trusts. ComplianceOS turns it into a record you can read in order.

Set requirements

List what each worker needs, across the whole organisation. Choose which requirements carry an expiry and how early the warning starts.

Drop evidence in

Upload tickets, licences and medicals into the evidence inbox. Files you already hold are flagged by their exact bytes before they reach a worker.

Verify and date it

A coordinator links each file to a worker and requirement, records the expiry, and marks it verified or rejected with a reason.

Read readiness

Open a worker. See every requirement with its status and the most urgent issues in one line. Then phone the worker, not the client.

What you get

Built for the coordinator's desk

The first release covers one job properly: knowing, per worker, what evidence is required, what exists, what is wrong and what needs attention.

Workers and worker detail

Every worker with their requirements, tags, expiry dates and evidence history on one screen.

Requirements, set once

Define what is required across the organisation, whether it expires, and how early to warn.

Evidence inbox

Upload, link, date, verify or reject with a reason. Nothing reaches a worker's record unchecked.

Duplicate detection

Files are recognised by a SHA-256 hash of their exact bytes. An organisation holds each file once, however it was renamed or moved.

Windows desktop app PILOT

Point it at an evidence folder, including a NAS share your PC can reach, and new files appear in the inbox. Preview from the drive; the file stays where it is unless you turn on cloud copies.

An audit trail

Verifications, rejections and edits are recorded with who and when. Uploaded evidence is kept as versions, never overwritten.

Who it's for

Labour hire that answers to the site

Built for coordinators who get the 5am call asking whether a crew can start. These are the kinds of evidence the board is made to track.

Mining & resources

Site-specific inductions and medicals that expire on different clocks. Shutdown crews assembled in days.

Civil & construction

White Cards, HRW classes and VOCs across many principals, each with their own paperwork at the gate.

Shutdowns & projects

Short notice, large numbers. Readiness per worker means you can say yes to the client with the evidence to back it.

Scope

Deliberately small

We started with one question: can a coordinator open a worker and immediately see what evidence is required, what exists, what is wrong and what needs attention? We answer that well before we add anything else, and we would rather hear what your firm needs next than guess.

These are not in the product today, and we will not describe them as if they were.

  • Workforce adminNo placements, rostering, timesheets, invoicing or client management.
  • Worker accessWorkers do not log in. Coordinators and staff in your organisation do.
  • AlertsNo automatic emails or SMS for expiring evidence yet. The board shows it when you look.
  • Document readingNo AI extraction. A person records the expiry and verifies the document.
  • A compliance verdictNo “compliant” badge. ComplianceOS shows the evidence; you make the decision.
RECORD

Evidence never silently changes

Every version of an uploaded file is kept. Verifications, rejections and edits land in an audit trail with who and when.

ACCESS

Your staff, your org

Each coordinator belongs to one organisation. Every action is checked on the server against who they are and what they may do.

RESIDENCY

Oceania hosting before real data

The demo runs on sample data only. Before any customer record is stored, the database and evidence files move to Oceania hosting, and we will publish where each part runs. We do not claim a regional certification.

Questions

Straight answers

Does ComplianceOS tell me a worker is compliant?

No. It shows the status of each requirement from the evidence recorded: Valid, Expiring, Expired, Awaiting verification, Expiry missing or Missing. Whether a worker may start is your decision, and the client's.

Where does the evidence live?

You can upload files in the browser. The Windows desktop app, currently in pilot, can also scan an evidence folder, including a NAS share your PC can reach, and bring new files into the inbox without moving the originals. Cloud copies of scanned files are optional and off until you turn them on.

Can workers log in?

Not in this release. ComplianceOS is for your coordinators and office staff. Each belongs to one organisation and only sees that organisation's workers.

Can I try it?

There is an open demo with a sample workforce. It runs on demo data only, so do not enter real worker details. For a session with your own evidence, book a walkthrough.

Where is my data hosted?

The demo is hosted outside Oceania and holds sample data only. Before any customer data is stored, the database and evidence files move to Oceania hosting, with Australian regions as the target. We will publish the regions we use, and we do not claim regional compliance beyond what we can show.

What does it cost?

Pricing is being set with pilot customers. Book a walkthrough and we will talk through what fits a firm of your size.

Bring a worker file. Leave with a readiness board.

Thirty minutes with your own evidence, not a demo dataset. We will show you what ComplianceOS would say about that worker today.
